A practical guide to setting up your account, managing contacts, creating automations and tracking sales.

Getting started

Start by adding your company information, inviting users and connecting the communication channels you plan to use.

Initial setup checklist

  1. Open Settings and add your business name, address, logo and timezone.
  2. Invite team members and choose their permission level.
  3. Connect your email sending service and phone or SMS number.
  4. Create your first sales pipeline.
  5. Import existing contacts from a CSV file.
Tip: Complete your company profile before creating emails, forms or funnels so your branding is applied consistently.

Dashboard

The dashboard gives you a quick view of new leads, open opportunities, appointments, sales value and team activity.

Contacts

Every person or company you deal with is stored as a contact. Contact records can include notes, tags, tasks, opportunities, appointments and conversation history.

Importing contacts

  1. Go to Contacts and choose Import.
  2. Upload your CSV file.
  3. Match each spreadsheet column to the correct Leadz field.
  4. Add a tag such as Imported July 2026.
  5. Review the sample and complete the import.

Sales pipeline

Pipelines show where each deal sits in your sales process. A simple pipeline might include New Lead, Contacted, Qualified, Proposal Sent, Won and Lost.

Creating a pipeline

  1. Open Opportunities or Pipelines.
  2. Select Create Pipeline.
  3. Name the pipeline and add each stage.
  4. Set a default opportunity value if useful.
  5. Move deals between stages as they progress.

Conversations

The unified inbox lets your team manage customer messages from email, SMS and supported social channels in one place.

Best practice: Assign each conversation to an owner and use internal notes when another team member needs context.

Automation

Workflows automatically perform actions when a trigger occurs. Common triggers include a form submission, pipeline stage change, appointment booking or new tag.

Example new lead workflow

  1. Trigger: contact submits website form.
  2. Send an immediate confirmation email.
  3. Send an SMS after two minutes.
  4. Create an opportunity in the New Lead stage.
  5. Assign the lead to a salesperson.
  6. Create a follow-up task for the next business day.
Important: Always test workflows with an internal contact before publishing them.

Calendars and appointments

Create individual or team calendars, set availability and embed booking links on your website or funnel pages.

Calendar setup

  • Choose meeting duration and buffer time.
  • Set weekly availability.
  • Connect Google or Outlook calendars.
  • Add confirmation and reminder messages.
  • Test the booking page on desktop and mobile.

Forms, websites and funnels

Use forms to capture enquiries and funnels to guide visitors through a focused action such as booking a call, requesting a quote or purchasing a service.

Reputation and reviews

Send review requests after a successful appointment, purchase or completed service. Positive reviews can be directed to your preferred public review platform.

Tip: Ask for reviews shortly after the customer has received value, while the experience is still fresh.

Settings and administration

Use Settings to manage users, permissions, integrations, billing, domains, phone numbers, email services and company branding.

Monthly admin checks

  • Review user access and remove old accounts.
  • Check failed automations and message delivery.
  • Confirm billing and usage charges.
  • Review connected domains and integrations.
  • Export important data for backup if required.
